Terms & Conditions

These terms cover membership of the Association, tickets for our events, and hire of rooms at the Istead Rise Community Centre, whether arranged through this portal or with the office directly. By applying for membership, buying a ticket or making a booking you agree to them.

1. Membership

Membership runs from 1 January to 31 December each year, whatever date you join. Applications are subject to approval by the committee, which may ask for photographic ID and proof of address. The joining fee and annual subscription are shown at the point of application and are not refundable once your application has been approved.

Renewals are due by 31 January. If you pay by card through the portal, you agree that we may charge your saved card the annual subscription in mid-December for the following year; we will email you beforehand and you can cancel auto-renewal at any time from your account. Memberships unpaid after 31 January lapse, and access to the Centre's member facilities (including door entry) ends.

Members must comply with the Association's constitution and any rules displayed at the Centre. The committee may suspend or withdraw membership for conduct that harms the Association, its members or its premises; any refund in that case is at the committee's discretion.

2. Event tickets

Tickets are issued per person and admit the named holder (or bearer, for unnamed tickets) once. Each ticket carries a unique code; duplicated codes will be refused at the door. Some events or ticket types are restricted to current members.

Tickets are not refundable except when we cancel or materially change the event, in which case we will refund the ticket price in full to the original payment method. We may refuse admission or ask anyone to leave for behaviour that risks the safety or enjoyment of others; no refund is due in that case. Children must be accompanied by an adult unless the event says otherwise.

3. Room hire

A booking is confirmed when we receive your deposit. The full hire fee is due no later than 48 hours before the booking. If you paid your deposit by card through the portal, you agree that we may automatically charge the outstanding balance to the same card 48 hours before the booking unless it has already been paid; we will email you the day the charge is made.

If you cancel more than 14 days before the booking, we will refund everything you have paid, less the deposit. Within 14 days, all sums paid are non-refundable except at the committee's discretion. The deposit is otherwise returnable after your booking, less the cost of repairing any damage or additional cleaning.

The hirer must be over 18, is responsible for the conduct of their guests, must not exceed the room capacity we notify to them, and must leave the premises clean, undamaged and by the end of the booked time (which should include your setting-up and clearing-away time). Alcohol may only be sold via the Centre's bar. Nothing may be fixed to walls or ceilings without the office's agreement.

4. Payments

Card payments are processed by Stripe; we never see or store your full card details. Prices are shown in pounds sterling and include any applicable taxes. If a payment is later reversed or disputed, the related membership, tickets or booking may be suspended until it is resolved.

5. Liability

We do not exclude liability for death or personal injury caused by our negligence, or for anything else that cannot be excluded by law. Otherwise, our total liability in connection with a membership, ticket or booking is limited to the amount you paid us for it. Vehicles are parked, and personal property brought to the Centre, at the owner's risk.

6. General

We may update these terms from time to time; the version on this page applies to new purchases and applications from the date it is published. These terms are governed by the law of England and Wales. Questions? Contact the office at the Centre or through the details on irca.org.uk.
